As soon as the office is informed that someone wants to reserve a room, the website shows that room as 'reserved'. 

A room will only be reserved for 5 working days until your deposit and papers are received. If a deposit is not received within this time limit, the room will be made available to other prospective tenants. Bank account details can be found on the second page of the rental agreement. Deposits will be confirmed by email and then forwarded to the Deposit Protection Service who will confirm receipt by email directly to you. They hold the deposit for the duration of the tenancy.

When the deposit and all paperwork have been received, the website shows the room has been 'Let'. A countersigned copy of the contract is then sent back to you.
